Job Summary:

Under the general supervision of the Director of Financial Aid, the Reconciliation and Compliance Specialist is primarily responsible for providing compliance oversight of the Office of Student Financial Aid.  This includes reviewing and updating departmental procedures to reflect current federal, state, and institutional regulations; reconciliation of grant, loan, scholarship and military programs; training staff on the PowerFAIDS/Jenzabar system, updating staff on changes in federal, state, and institutional regulations and in conjunction with the Internal Auditor, performing compliance audits.  In addition, this position represents the financial department at various recruitment events. 

Essential Job Functions:

  • Maintain knowledge of current federal, state, and institutional financial aid regulations, policies and procedures.
  • Performs monthly reconciliation of all federal, state, institutional, and private student aid programs.
  • Assists with resolving rejected Federal Pell and Federal Direct Loan records related to disbursement of aid (i.e. multiple reporting, POP situations, etc.).
  • Monitors enrollment changes; determines and facilitates aid adjustments as necessary.
  • Audits student files for accuracy and completeness for compliance with federal, state, and institutional regulations.
  • Responds to the primary technical needs of the financial aid staff and provides support and training for a variety of programs utilized to administer student aid.
  • Verify accuracy of data for the Net Price Calculator and enrollment reporting to the COD and NSLDS.
  • Work collaboratively with the Department of Information Technology and third party vendors to successfully implement and test Jenzabar software updates.  
  • Prepare student awards and provide financial aid counseling to students and parents.
  • Makes recommendations to the Director on ways to improve efficiency and service.
  • Create and maintain policies and procedures as they relate to the department.
  • Assists with audits, program reviews, state/federal surveys, and reporting requirements.
  • Represent the department at appropriate College-sponsored events.
  • Participate in College-wide committees as appropriate.
  • Complete other duties as assigned.

Supervisory Responsibilities

Supervises work study student(s).

Minimum Job Qualifications

Education and/or Experience

  • Bachelor’s degree from an accredited college or university in accounting or related field. [Master’s degree preferred.]
  • Three years of direct work with reconciliation and compliance. [Preferred]
  • Demonstrated ability to interpret federal, state, and institutional regulations.
  • Ability to train employees on compliance issues.
  • Demonstrated effective use of the Microsoft Office Suite and proprietary information system (e.g., Jenzabar, CAMS, etc.)
  • Excellent interpersonal, written, and oral communication skills.
  • Strong organizational and time management skills.
  • Availability to travel in order to comply with training requirements.
  • Ability to work a flexible schedule.
