Academic Support Specialist

Job Summary:

Reporting to the Registrar, the Academic Support Specialist will coordinate and perform complex work in administering processes and providing services related to student academic records, registration, class scheduling, and enforcement of academic regulations.

Essential Job Functions:

  • Provides effective customer service by having a thorough understanding of applicable academic regulations, rules, laws, policies and procedures related to Registrar functions and applying that knowledge to the provision of information, problem-solving, and information processing.
  • Follow policies and procedures to ensure that student and class record data is entered, processed, utilized, and stored properly both internally and externally.
  • Maintain active and inactive student files in electronic document management system.
  • Assists with student and faculty enrollment and class scheduling.
  • Manages and/or facilitates the grade entry process while interfacing with faculty and departments to ensure grades are accurately entered and maintained in the student information system.
  • Coordinate with staff, faculty, and students regarding status changes to determine all pieces of pertinent information (example: student last dates of attendance) to support federal enrollment reporting guidelines and processes.
  • Assist in online registration. Processing transcript request and enrollment verification in a timely manner (maintain log of all transcript request). Support Registrar functions by assisting with Commencement, Baccalaureate, and Honors Convocation. 
  • Provide clerical support including word processing, scanning, filing, copying, faxing, and experience using Microsoft Office products.
  • Familiarity with Family Educational Rights and Privacy Acts (FERPA) and applicable laws and regulations regarding student records, confidentiality, and student rights and responsibilities.
  • Complete other duties as assigned.

Supervisory Responsibilities

Supervises work study student(s).

Minimum Job Qualifications

Education and/or Experience

  • Bachelor’s degree from an accredited college or university.. [Master’s degree preferred.]
  • A minimum of two (2) years’ experience in an office or academic setting.
  • Demonstrated ability to interpret federal, state, and institutional regulations.
  • Demonstrated effective use of the Microsoft Office Suite and proprietary information system (e.g., Jenzabar, CAMS, etc.)
  • Excellent interpersonal, written, and oral communication skills.
  • Strong organizational and time management skills.
  • Ability to work a flexible schedule (i.e. nights and weekends).
